START WITH THE DEADLINE

Tell the freight desk what cannot move

For urgent transport, the most important facts are the latest acceptable collection time and the required delivery deadline. The carrier can then judge positioning time, driving time and vehicle suitability.

VEHICLE MATCH

Do not overspecify if you are unsure

If you know the required vehicle, say so. If not, provide dimensions, weight and loading arrangements. A smaller dedicated vehicle may be faster to position than an HGV and could be sufficient for the consignment.

COMMUNICATION

Agree escalation before dispatch

Confirm who will provide collection confirmation, delay updates and POD. For genuinely time-critical work, silence is not a status update. The carrier instruction should tell the operator when and how to escalate a problem.

AFTER DELIVERY

Close the loop with POD

A job is not administratively complete at the delivery gate. Capturing POD promptly supports customer confirmation, invoicing and any later claim or discrepancy review.
